Inviting a client to their portal

  1. Open the client and go to Portal

    From the client overview, click Portal in the left sidebar (or the client's Settings → Portal Access).

  2. Click "Invite client"

    Enter the client contact's email address. You can invite multiple contacts — for example, a marketing manager and a CEO — all to the same client portal.

  3. Send the invite

    Click Send invite. The contact receives an email with a secure link to set their password and access the portal. The link is valid for 7 days.

  4. Your client sets their password

    When they click the link, they're taken to a portal-specific sign-up page (at /portal) where they create their password. They can only see the specific client's data you invited them to.

What clients see in the portal

Once logged in, your client can view:

  • Dashboard — A summary of keyword rankings, traffic trends from GSC, and recent changes.
  • Keywords — Live ranking positions for all tracked keywords, with history charts.
  • Reports — Any branded PDF reports you've published for them.
  • Content Briefs — Briefs in "Review" status that need their approval. They can approve or request changes directly in the portal.
  • Tasks — Tasks marked as visible to the client.
  • Reviews — Google Business Profile review feed (if connected).

Clients cannot see your agency's workspace, other clients' data, your internal notes, or any data you haven't explicitly shared with them.

Customizing the portal appearance

You can add your agency's logo and brand colors to the portal so it looks like your own product. Go to Settings → Branding to upload your logo and set your primary color. These settings apply to all client portals in your workspace.

White-label tip

On the Agency plan, the portal URL can be used with your own custom domain (e.g. portal.youragency.com). Contact support to set this up — it requires adding a CNAME record to your DNS.

Managing portal access

To see who has portal access for a client, go to Client → Portal → Portal users. You can resend invites to users who haven't set their password yet, or revoke access for anyone who should no longer have it. Revoked users are immediately logged out on their next page load.

The client portal URL

All clients access the portal at the same URL: [your-domain]/portal. There's one portal per workspace — clients log in with their email address, and Rankrop determines which client data to show based on the account they're linked to. Each client's data is fully isolated.
